Payroll off your desk by the 9th, every month

PAYE, SHIF, NSSF and the Housing Levy calculated correctly and remitted by the 9th — plus contracts, records, performance management and training your team on the systems we put in.

  • Payroll run on a cycle
  • Statutory deductions right
  • Organised HR records
The challenge

Payroll is the one thing a business cannot get wrong twice

It is also the thing most often run on a spreadsheet that one person understands. The statutory side has moved repeatedly in recent years, and a payroll built before those changes is quietly wrong every month. Meanwhile there are no written contracts, no personnel files, no leave records, and no documented process for the day someone has to be let go. That gap is invisible until it is a claim.

What we handle

Payroll off your desk by the 9th, every month.

Run the payroll

Gross to net, every cycle, with PAYE, SHIF, NSSF, the Housing Levy and personal relief applied correctly.

Remit on time

Statutory deductions paid by the 9th, with the filings that go alongside them.

Handle a shift workforce

Casuals, overtime, service charge distribution and high turnover — badly handled by generic payroll.

Payslips and records

Every employee gets a payslip. The records exist if anyone asks for them.

Contracts and personnel files

Written contracts that fit Kenyan employment law, job descriptions and leave records.

Performance and exits

Review structures that actually get used, and correct process on the way out — documented.

What you get

The difference it makes

  • Payroll by the 9thRun and remitted, every month.
  • Statutory deductionsThat you do not have to think about.
  • Contracts and recordsThat hold up when they are looked at.
  • A trained teamRunning it without you standing over them.
Staff training

Training your team to run it

Most consultancy fails the same way: someone builds a good system, hands over a folder, and leaves. Training is part of the work, not a separate engagement — on site, with your own systems and your own numbers.

  • Supervisor basicsFor people promoted into managing without ever being taught how.
  • Stock and store disciplineHow to count, how to value, and how to receive a delivery.
  • Costing and menu maintenanceHow to update the costing sheet when a supplier price moves.
  • POS and cash disciplineVoids, discounts, comps and staff meals — recorded rather than absorbed.

How many employees do we need before outsourcing payroll makes sense?

There is no threshold. It is about whether the person currently doing it should be doing it, and whether the statutory side is actually right. Small payrolls are often the most wrong, because nobody has checked them in years.

Can you take over an existing payroll part-way through the year?

Yes. We reconcile the year to date first, so the figures carry forward correctly and the year-end position is not built on someone else's assumptions.

What statutory deductions come out of Kenyan payroll?

PAYE, SHIF, NSSF and the Housing Levy, with personal relief applied. The rates and bands have changed repeatedly in recent years, which is why a payroll built a few years ago and never revisited is usually wrong every month. Our free PAYE and net pay calculator works out the current position.

Do you handle contracts, records and terminations?

We handle the process and the documentation — written contracts that fit Kenyan employment law, job descriptions, leave records and correct, documented process on exit. That is where most employers come unstuck. Where something genuinely needs a lawyer, we will say so rather than improvise.

Do you train teams on systems you did not build?

Yes, provided the system is sound. If it is not, we will say so rather than train people to run something that is broken. That would just make the wrong answers arrive faster.
